Contact all parties and introduce our role in the transaction as your Personal Closing Facilitator.
Thoroughly review the Purchase Agreement, Counter Offers, and Amendments to ensure that each document is fully executed with proper dates, initials, signatures and broker information.
Supply the executed Purchase Agreement to all parties involved in the transaction.
Enter all of the contacts, appropriate dates and documents into the transaction management service software - we will then invite all parties involved.
Order the Natural Hazard Report.
Prepare a Full Disclosure Package including all of the required C.A.R., broker forms and documents - we will then deliver these via mail, email or DocuSign directly to you and/or your seller.
Provide a completed Seller Disclosure Package and deliver to the buyer's agent and monitor a timely return, as well as ensure that all contract time-lines are adhered to.
Send copies of the termite and any other reports to buyer's agent and to escrow.
Order any requested escrow amendments.
Upload all documents, disclosures and reports into the transaction management service software as each one is received or fully executed throughout the transaction process.
Ensure that escrow has received all documents including the termite report, zone report, home warranty invoices, commission instructions and any other required documents.
Track escrow time-frames for receipt of earnest money deposit, delivery and return of escrow packages, and delivery of HOA documents as applicable.
Make sure that all disclosures and reports have been provided and ensure that all signatures, initials and dates have been completed.
Maintain weekly contact with all parties involved for status updates as well as items needing attention or that are outstanding.
Fully complete and deliver the completed digital paper file (PDF) to you or your broker.

Verify the details from the contracts are on the closing statement and names are correct.
Make sure insurance is on the settlement statement.
Double check the PN and Security agreement are correct and how that agreement will be recorded.

60-90 days after COE is where most Subto transactions go wrong IF they're going to go wrong.
Verify insurance has been bound and the payment was received.
Update the information with the lender to the buyers info.
Make sure the 3rd party authorization is on file with the lender but NOT the POA. Use the POA as your backup.
Upload the new policy with the lender and make sure it gets accepted before cancelling the old policy. You may need to work with the seller or just use your POA to cancel the old policy
If there is an HOA, make sure any logins are created or payments and contact information are updated. HOAs are SLOW and usually wont have this process finalized for 30-60 days after closing.
Keep in mind ALL of these processes require continuous verification and you cannot expect people to always do as you asked. There are alot of 3rd parties to rely on during this process.
Dont forget to collect copies of your recorded docs from title ( could take up to 30 days after COE)
